How to read an additional-document letter

A calm method for Thai applicants responding when a German recognition authority asks for more documents or clarification.

An official request for more information is not automatically a refusal. It often means the authority cannot yet complete its assessment. Read the letter as an instruction document before treating it as a judgment.

Mark the administrative facts

Highlight the issuing body, reference number, date, response deadline and stated contact channel. Check whether the deadline concerns receipt by the authority or dispatch by you. Keep the envelope or electronic delivery record.

Number every request

Turn each requested item into a numbered line. A paragraph may contain several distinct needs: a certified certificate copy, a German translation, detailed curriculum evidence and an employment record. Preserve the authority’s wording alongside your plain-language note.

Distinguish present requests from later possibilities

Letters sometimes explain what could happen if substantial differences remain after the evidence review. That future explanation is different from a document currently due. Avoid registering for a course or examination solely because it appears in a general procedural paragraph.

Prepare precise questions

If a requested Thai document does not exist in the named format, explain what the institution does issue and ask whether an alternative can be considered. If timing is impossible because a university must retrieve archived records, ask the authority about an extension before the deadline.

Keep a response record

Send a short cover list matching each request with an enclosure or explanation. Retain copies and proof of transmission. Do not submit altered records or imply that an informal translation is certified.

Legal deadlines and appeal rights need qualified legal attention. Administrative organisation can clarify the letter, but it cannot replace advice from a lawyer when your rights are at stake.
